Can My Employer Read My Work Email? Yes, and Here Is How

Yes. Your work email is stored in your company's Microsoft 365 or Google Workspace account, and the company controls it. Admins can search every mailbox by person, words or dates, export the results, and give someone access to open your mailbox directly. Mail you deleted can still be found if your mailbox is on a hold or under a retention policy. You are not told when a search runs.

In practice, nobody reads your email day to day. Searches happen for a reason: a legal case, an HR complaint, a security alert, or someone leaving. Your manager cannot read your mailbox just by being your manager; IT has to grant it. And the access is recorded: Microsoft 365 turns on mailbox audit logging "by default in all organizations," covering actions by owners, delegates and admins.

Who can read your work email

How an employer reads work email

Search and export. In Microsoft 365, an admin with an eDiscovery role builds a search in Microsoft Purview across one mailbox or all of them, by keyword, sender, date or attachment, and exports the matching messages. In Google Workspace, Google Vault does the same for Gmail. Neither shows you a notice.

Open the mailbox. An Exchange admin can give someone Full Access to your mailbox, which lets them open it in Outlook next to their own. Companies do this when someone leaves or is on long leave, so the manager can pick up open work.

Read the logs. Message trace in Exchange and the email log search in Google Workspace show who sent what to whom and when, without the text. This is the most common check, because it answers "did this email go out" without opening anything.

Keep deleted mail. A litigation hold or retention policy keeps every message, including ones you delete and empty from Deleted Items. That is why "I deleted it" does not end the question on a work account.

Scan outgoing mail. Data loss prevention rules scan email as it is sent, for card numbers, customer data or files marked confidential, and can block or flag a message automatically.

What gets logged when someone reads your email

Microsoft 365 logs mailbox actions by owners, delegates and admins by default. The log records sign-ins to your mailbox, messages opened or moved, and items deleted, with who did it. eDiscovery searches and exports are recorded in the audit log too. Google Workspace records Vault searches and exports in the Vault audit log.

You cannot read these logs yourself. They exist so that one admin cannot quietly read a mailbox without a trace, and so the company can show later who looked and why.

Is work email private?

No. On a company account, treat email as company records.

• • United States. Monitoring email on a company system is broadly legal. The federal Electronic Communications Privacy Act allows it where the employer provides the system or has consent, and most company policies ask you to agree to monitoring. New York, Connecticut and Delaware require employers to give written notice of electronic monitoring.
• • EU and UK. Monitoring has to be necessary, proportionate and disclosed under data protection law. In Barbulescu v. Romania (2017), the European Court of Human Rights ruled that an employer who read an employee's messages without telling him in advance had breached his right to privacy.

Keep personal email off the work account

• • Do not use your work address for personal accounts, banking, health or job hunting. A search for your name returns all of it.
• • Use a personal address on your own phone for personal mail. Webmail on a work laptop can still be seen through the laptop and the network; see can my employer see my personal email on my work computer.
• • Assume anything you forward from work to personal email is logged, and may break a data loss prevention rule.
• • If you leave, your mailbox usually stays with the company and is kept or passed to your manager.

FAQ

Can my boss read my Outlook emails? Not directly. IT can give your manager access to your mailbox or send them search results. Many companies do this when someone leaves.

Can my employer read my deleted work emails? Yes, if your mailbox is on a litigation hold or covered by a retention policy. Deleted and purged messages are kept for the retention period.

Will I know if my employer reads my email? No. Searches and exports do not notify you. They are recorded in audit logs that admins, not users, can see.

Can my employer read my email on my personal phone? They can read the work mailbox, which lives on their servers, whatever device you read it on. They cannot read a personal Gmail or iCloud account on your phone. What Intune can see on the phone itself is in what can my employer see with Intune.
