Slack Canvas vs Lists: Which One to Use, and What the Free Plan Allows

A Slack canvas is a document for briefs and notes; a Slack list tracks items with owners, due dates, board views and a thread per item. We tested the Free plan: one canvas per conversation works, standalone canvases and lists need Pro.

A Slack canvas is a document: headings, text, checklists, tables, images and embedded files, for a project brief, meeting notes or a channel's home page. A Slack list is a tracker: rows of items with an assignee, a due date, a completion box and any fields you add, shown as a table or a board, with a thread on every item. Use a canvas when people need to read something, and a list when people need to do things and see their status. On the Free plan, our test got one canvas per conversation and no lists.

We checked the Free-plan part on 3 October 2026 in our own Free workspace; the rest of the comparison comes from Slack's help articles Use a canvas in Slack and Use lists in Slack.

What the Free plan allows: one canvas, no lists

In a Free workspace, the + menu in Files marks both Canvas and List as PRO. That menu creates standalone canvases and lists:

The Create new menu in Slack's Files tab on the Free plan, with Canvas and List both marked PRO

A conversation's own canvas works, though. In a DM we clicked the Add canvas tab, chose New blank canvas, and got a working canvas tab with the full editor, including the checklist and table buttons. With that one canvas in place, the + menu for tabs moved Canvas, List and Workflow under "Do more with Pro":

A Free-plan Slack DM with a new canvas tab open and the add-tab menu showing Link, Folder and Customize tabs, then a PRO section with Canvas, List and Workflow

Clicking List anywhere on Free opened a "Select a premium plan to get lists" dialog; that test is in the Slack lists tutorial. So on Free, a conversation can have one shared canvas as its home page (we tested a DM; channels have the same Add canvas tab), and every task tracker has to live somewhere else. We deleted the test canvas and its tab afterwards. What else Free limits is in Slack free plan limits.

Are Slack canvases private?

A conversation canvas is not. It is a tab of the channel or DM, and Slack's Manage tabs panel says the tabs are ones "that everyone sees in this channel", so every member of the conversation can open it. A canvas created from Files on a paid plan is private to you until you share it, and a list works the same way: Slack's help says lists "are only visible to people or channels you share them with directly." Either can then be opened to Anyone in [organization] can view or can edit on desktop.

We tested who can open each kind on are Slack canvases private: an app outside the channel got not_visible for a channel canvas, and the workspace menu also offers can comment.

What a Slack canvas is used for

  • • A channel's home page. Right-click the canvas tab and choose Show canvas by default so it opens when someone visits.
  • • Meeting notes. Huddles come with their own canvas; see how to record a Slack huddle.
  • • Onboarding and how-tos, with headings, callouts and embedded clips; shortcuts are in Slack canvas formatting.
  • • Tables. The canvas toolbar has a table button, the only way to get editable rows and columns in Slack; see how to make a table in Slack.
  • Slack lists vs canvas for project management

For a project, use a list as the tracker and a canvas as the brief. A canvas checklist is fine for five to-dos in a meeting note, but it has no assignee field, no due dates and no board. Once work has owners and deadlines, it belongs in a list:

  • Canvas tab: what the project is, the goal, who decides, links.
  • List tab: every task, with owner, due date and status.
  • Item threads: questions about a task go in that item's thread, not the channel.
  • A workflow: when an item's status changes to Done, message the requester; see Slack Workflow Builder examples.

On Free, only step 1 is possible, and step 2 becomes a pinned message or a /remind per task; see Slack /remind command examples.

FAQ

Can a canvas contain a list?

A canvas can hold checklists and bulleted lists. A Slack list is a separate object; link it from the canvas or add both as tabs.

What happens to canvases and lists after a downgrade to Free?

Slack's free-version help page says canvases and lists become read-only and no new ones can be made. In our Free workspace a new conversation canvas could still be created and edited, so expect the per-conversation canvas to keep working.
